The Subject Tutoring Program Coordinator for Academic Support Programs (ASP) will provide ongoing consultation and communication with university-wide academic program directors and faculty with regard to tutor recruitment for math, science, and liberal arts courses served by the Subject Tutoring Program. The incumbent will oversee the hiring of tutors; will recruit, select, train, and supervise support staff and tutors for the Subject Tutoring Program; will, in collaboration with the Director of the Subject Tutoring Program, conduct ongoing assessment of the need for tutors; and will be responsible for developing and disseminating to the campus community announcements of tutoring program offerings, such as group tutorial sessions and workshops. The Subject Tutoring Program employs 100 to 120 undergraduate tutors and offers free individual and/or group tutoring for students enrolled in many 100- and 200-level courses in the College of Science and Mathematics and in the College of Liberal Arts.
Examples of Duties:
- Recruit, select, train, and supervise support staff and tutors for the Subject Tutoring Program; be responsible for the preparation of hiring paperwork;
- Provide consultation and information to university-wide department chairs, faculty coordinators, and individual faculty members on recruitment, training, and supervision procedures for tutors; utilize department and university databases to determine recruitment requirements and assessment of student demand; hear complaints and grievances and negotiate resolution when brought by faculty or tutors; consult the Academic Support Programs’ directors when necessary;
- Be responsible for providing information to the university community about courses tutored in the program and for directing students to the appropriate resources (e.g., The Reading, Writing, and Study Strategies Center and the English Composition Program) for writing-based and other tutoring needs not offered through the Subject Tutoring Program;
- Manage the online tutor registration system, which includes monitoring new student tutoring requests, pairing tutors and students, and facilitating reassignment of tutors when requested;
- Oversee payroll and record keeping for all subject tutors, including weekly downloading, formatting, and submitting electronic timesheet update to the VPASS Business Office; compile and maintain electronic records of students served and contact hours each semester;
- Oversee the collection of services and fiscal data on tutorial programs; prepare monthly, semester and annual reports;
- Work with the ASP Administrative Assistant on the completion of databases, program reports, and ongoing communication with tutors and students;
- Oversee and organize group tutoring sessions;
- Work with the Director of the Subject Tutoring and the SERL team to ensure effective operations of the on-line registration system; provide ongoing assessment of on-line registration systems to improve functionality and efficacy for tutors, students and staff;
- With the Director of the Subject Tutoring Program, assess the effectiveness of policies and procedures related to subject tutoring and suggest changes as needed;
- Assist the tutoring program directors in the development and updating of tutoring materials for training, evaluation and information delivery, including communication using web tools and resources;
- Collaborate with the College of Advancing and Professional Studies (CAPS) to offer tutoring for both winter and summer session courses, including selection and supervision of tutors;
- Identify and recommend prospective math tutors for the Directions for Student Potential (DSP) summer program;
- When course is offered, co-teach ASP 120, Introduction to Tutoring; responsibility include ongoing development of new course content and resources, management of course Blackboard site, and facilitation of online discussions;
- Perform other duties as assigned.
Master’s Degree in English, Applied Linguistics, Education, Humanities or a closely related field and a minimum of one-three years of teaching and/or curriculum development experience required. A Bachelor’s Degree and a minimum of three-five (3-5) years of teaching and/or curriculum development experience can be substituted for the above requirement. Experience in program coordination, management, staff supervision and conflict resolution required. Proficiency in Microsoft Word and Excel, including experience working with databases and generating reports, is required.
