POSITION TITLE: Library Assistant IV Technical Services

AGENCY: University of Massachusetts Dartmouth

SALARY: Grade 16

GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:

The Library Assistant IV is responsible for performing day-to-day activities in the areas of acquisitions, cataloging, and collection management for print and electronic library resources. These activities include assisting with the procurement of library materials, processing received materials, and recordkeeping. The Library Assistant IV records holdings information in Library systems (currently OCLC and Alma) and manages the receipt of government documents. The individual in this role assists librarians in performing a variety of tasks, including print material labeling, inventories, and collection assessment and management projects among others. The Library Assistant IV may train and supervise library personnel, including student employees. The incumbent will assist with other related tasks based on the needs of the Library.

SUPERVISION RECEIVED:

Receives direct supervision from the division head who provides procedural and technical guidance, assigns work, and reviews performance through observation, reports, and best practices established by the greater library community.

DIRECT REPORTING STAFF:

Exercises supervision of 30-40 student employees.

DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES:

• Place orders with vendors for library materials at the direction of the collections librarian or the Head of Technical Services.

• Process materials upon receipt --check-in, claiming, invoice reconciliation, labeling and preparing for cataloging.

• Create, edit, revise, and maintain serials holdings records utilizing automated systems in use by the library.

• Activate, update, and maintain electronic serial resources data.

• Assist with monitoring acquisitions fund balances.

• Process government documents upon receipt and maintain government document processing records according to specified standards.

• Prepare, process, and receive bindery shipments utilizing a proprietary bindery software application.

• Assist in maintaining acquisitions records and prepare reports to document acquisitions activities.

• Assist with special projects, including collection inventories, collection weeding, collection shifting, and gift processing.

• Cross train and collaborate with Inter Library Loan staff.

• Train, supervise, and evaluate performance of Access Services student employees during assigned shift.

• Perform other related duties as assigned.

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) two years of full-time, or equivalent part-time, paraprofessional experience as a library assistant and (B) of which at least one year must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitution below.
Substitution: An Associate’s or higher degree may be substituted for a maximum of one year of the required (A) You can find the Massachusetts State Specifications.

QUALIFICATIONS REQUIRED AT HIRE:

13. Knowledge of library filing system such as alphabetic, classified, and chronological.
14. Knowledge of the types and uses of library equipment.
15. Skill in mending and repairing books and other library materials.
16. Ability to understand and apply agency procedures and guidelines governing the purchase of supplies, materials, and equipment.
17. Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available resources; controlling work through periodic reviews and/or evaluations; determining subordinates’ training needs and providing or arranging for such training; motivating subordinates to work effectively; determining the need for disciplinary action and either recommending or initiating disciplinary action.
18. Ability to prepare general reports.
19. Knowledge of the methods used in performing library research and bibliographic searches.
20. Knowledge of the principles, practices, and techniques of supervision.
21. Knowledge of On-Line Computer Library Center (OCLC) bibliographic system.
22. Knowledge of the methods of general report writing.
23. Ability to recognize and assess the need for equipment and personnel.
24. Ability to interview and select candidates for library positions.
25. Ability to plan and prepare reference guides, exhibits, displays and presentations.

QUALIFICATIONS ACQUIRED ON JOB:

1. Knowledge of the policies, procedures, specifications, standards, and guidelines governing assigned unit activities.
2. Knowledge of the types and uses of agency forms.
3. Knowledge of the types and applications of library classification and cataloging systems.
4. Knowledge of the terminology, coding, symbols, and standard abbreviations used in library work.
5. Knowledge of library reference materials and services, including dictionaries, atlases, almanacs, bibliographies, catalogues, etc.
6. Knowledge of library filing systems, such as alphabetic, classified, and chronological.
7. Knowledge of MARC, AACR2, RDA, Library of Congress Subject Headings and Library of Congress Classification.
8. Knowledge of the types and uses of library equipment.
9. Knowledge of the methods and techniques of preserving library materials and repairing books.
10. Skill in operating microfilm readers and reader printers.
11. Skill in operating audio-visual and video equipment.
12. Skill in operating various types of book charging machines.
13. Skill in operating office machines and equipment such as adding machines, calculators and photostatic copiers.
14. Skill in operating office equipment such as photocopier machines.
15. Knowledge of On-Line Computer Library Center (OCLC) bibliographic system.
16. Knowledge of the principles, practices, and techniques of supervision.
17. Knowledge of the methods of general report writing.
18. Knowledge of the principles, practices, and techniques of interviewing.
19. Knowledge of the format, methods, and techniques used in preparing reference guides, exhibits, displays and presentations.
20. Skill in making oral presentations
