Job Summary

Under general supervision within the Student Organization Development and Management department, oversee peer advising of student organization leaders in all aspects of organizational development; includes training of a student staff to provide programming support to all Established Student Organizations (ESOs), including Registered Student Organizations (RSOs), Graduate Student Organizations (GSOs), and agencies within Student Engagement and Leadership. Oversee and manage the Student Organization Resource Center (SORC). Serve as a generalist and work as a team member in all areas of the Student Organizational Development and Management department, including the development and advisement of student organizations, organizational orientation, and training of student leaders. Reports to the Director of Student Organizational Development and Management or designee. Supervise staff including student employees. Participate in on-call rotations.

 

Essential Functions

  • Oversee and manage operation of the Student Organizational Resource Center (SORC), providing organizational training  and event planning advising, resources, and services to over 400  established student organizations (ESO) and to Student Engagement and Leadership staff, for example: develop annual budget, utilize Pro-Card for purchases, approve invoice payment, maintain financial records; develop, implement, and adhere to related procedures and policies; maintain inventory of office and event supplies; supervise staff and administrative functions. Collaborate with Registered Student Organization Council (RSOC) presidents, their advisors, and with the Student Governance (Student Government Association and Graduate Student Senate) in the support of ESO management.
  • Assist in advising, training, and leadership administrative oversight to all student organizations, including organizational management and development, organizational event planning, as well as the implementation of campus policies and procedure. Apply student development theory to educate, advise, and counsel students on acquiring technical skills, developing individual life skills and cultivating interrelationships through experiential learning in a co-curricular environment.
  • Hire, train, and supervise student assistant manager, event consultants (ECO), and organization resource specialists (ORS) to staff the SORC for approximately 60 hours weekly during the academic year. Evaluate job performance of SORC student employees. Also supervise paid RSOC presidents.
  • Manage and oversee implementation of software programs and social media utilized by Student Organization Development and Management department for ESOs including Student Organization Management Tools, University Tickets, and social media platform; implementing marketing strategies, as set by committee that relate to social media. Train users in coordination with Assistant Director for RSO Events; manage user accounts; serve as primary contact for on campus troubleshooting issues and for the software vendor.
  • Supervise event cash handling procedures and operations and event ticket pre-sales for all ESO events, including deposits. Establish and evaluate related policies and risk management procedures; supervise ticketing staff; and implement ticketing software.
  • Financial and budget responsibilities are for amounts less than $100K in the Student Activities Trust Fund (SATF); apply and conform to internal financial policies to ensure transactions are processed properly (e.g. Tax, Human Resources, Legal, and Federal). Ensure accuracy of recorded data through the use of analytical reports and reconciliations. Utilize financial databases and systems to manipulate and analyze financial data for internal and external reporting and decision making. Develop budget to include forecasting; monitor and report variances/problems and recommend solutions.
  • Assist the Director to ensure compliance of University and departmental policies, procedures and operational guidelines.
  • Assist the Director in managing the administration of Risk Management strategies for student organizations, including domestic and international travel, and event planning within University policy, guidelines and regulations.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree and three years of related field experience with experience supervising and advising in a higher education setting, including experience in budget management OR Master’s Degree and two years of related field experience with experience supervising and advising in a higher education setting, including experience in budget management.
  • Proven ability with using Microsoft Office productivity software, Adobe programs, strategic use of social media for marketing and training.
  • Experience in organizational development.
  • Experience working with diverse student populations in training in risk management and/or event planning and/or compliance.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree in Business Administration, Public Administration or related field.
  • Excellent knowledge and application of best practices related to university-based organizational management and mandated compliance requirements.
  • Proven ability to effectively train constituents using multiple methods and tools, including online applications, which respond effectively to diverse learning styles.
  • Superior presentation and interactive communication skills, listening and speaking with individuals and in group settings.
  • Excellent ability to establish positive and effective working relationships with diverse populations.
  • Proven ability to effectively manage multiple, concurrent priorities within established time-frames.
  • Facilitation experience.

 

Physical Demands/Working Conditions

  • Ability to travel that is not limited by access to public transit. Ability to lift 30 pounds and stand for long periods of time on a limited basis.

    • Directly supervise 1-5 Graduate Assistant Advisors
    • Directly supervise 15-40 undergraduate student staff

 

Work Schedule

  • 37.5 hours per week, Monday-Friday.
  • Required to work some nights and some weekends.
