Job Summary
Provide administrative assistance for the Associate Dean for Academic Affairs (ADAA) and the Associate Dean for Research (ADR) in the Elaine Marieb College of Nursing.
Essential Functions
- Perform administrative duties for the ADAA and ADR. Responsibilities include greeting guests; screening calls; managing calendars; making travel, meeting, teleconference arrangements; typing/editing/formatting documents; preparing tables, and customer relations.
- Serve as CAPS representative (Course/Teaching Schedule) and room scheduler for the College and provide clerical support for the Academic Affairs Leadership Team (AALT) committee
- Prepare documentation and process reimbursement of travel and provide timely submission of requests to purchase goods and services along with new vendor/sole source information to the business office for approval.
- Provide clerical assistance to faculty that are organizing CON events. Responsibilities include discussing plans with faculty and updating both an event timeline spreadsheet and a budget spreadsheet from quotes obtained based upon faculty direction, communicating with event planners at UMass Auxiliary Services or local hotels, and other clerical services such as travel arrangements, parking passes, and general office tasks needed to assist faculty with organizing the event.
Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- 3 years full-time, or equivalent part-time experience, in administrative/clerical work.
- An associate degree or higher with a major in business administration, business management, or public administration may be substituted for 1 year of the required experience.
- Highly skilled with MS Office products including Word, Excel, PowerPoint, and Exchange Calendaring. Open to learning new software as needed.
- Able to organize and maintain files both electronic and on paper.
- Sensitivity to confidential matters is required.
- Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients, students, and vendors.
Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- Experience in Higher Education preferred
Additional Details
- Some travel may be necessary representing the Elaine Marieb College of Nursing at events and programs.
- Willingness to work outside normal hours occasionally in support of College of Nursing events.
- This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the University Staff Association, it is subject to the terms and conditions of the University Staff Association collective bargaining agreement, therefore
Work Schedule
37.5 hours per week Monday through Friday between 8:00 am and 5:00 pm.
