Job Summary

The Human Resources (HR) Coordinator provides strategic guidance and operational support for all human resources functions within the Central HR Office. The HR Coordinator works with minimal supervision to monitor and organize HR operations and personnel-related functions for Central HR leadership, staff, and student workers. The Coordinator develops and facilitates training for HR staff on a variety of HR-related topics and consults on matters related to human resources policies and procedures within Central HR. This role is critical to maintaining operational efficiency within the HR department and ensuring the implementation of best practices.

 

Essential Functions

  • Central HR Guidance and Operational Support
    • Provides guidance and operational support to senior HR leaders and other Central HR staff. Creates and oversees contracts and purchase orders, supports travel arrangements, and provides monitors an inventory of equipment and supplies.
    • Consults with leadership and HR staff on human resources policies and procedures, providing guidance on policy adherence and best practices.
    • Oversees office operations and daily management of the office. Analyzes, creates, reviews, and updates office procedures. Recommends efficiencies and best practices to support the office’s procedures.
    • Provides logistical support for training sessions, workshops, and HR-related events.
    • Responds to employee inquiries about HR policies, procedures, and programs.
    • Supports on-boarding and off-boarding activities for Central HR employees; initiates and ensures personnel actions are processed efficiently.
  • Training & Communications
    • Conducts needs assessments for training needs across Central HR. Develops training plans to address areas of need. 
    • Develops and facilitates training sessions for HR staff on various HR-related topics, including compliance, recruitment, and policy updates.
    • Creates and disseminates written training materials. 
    • Communicates changes to HR procedures to HR staff. 
    • Develops surveys to gather feedback to evaluate training outcomes and effectiveness. Analyzes data and reports on training outcomes. 
  • HR Project & Data Management
    • Researches and implements new project management tools and templates to track HR workflow & projects. 
    • Monitors projects to meet deadlines and critical milestones.
    • Prepares and analyzes HR reports for management review, providing data-driven insights to improve operational efficiency.
  • Recruitment Support
    • Supports the recruitment process, including developing job descriptions, application tracking, and scheduling interviews across Central HR units.
    • Maintains and updates recruitment data in HR systems.
    • Gathers and analyzes interview feedback to ensure evaluation of candidates is consistent across departments. 
  • Compliance and Policy Adherence
    • Ensures compliance with federal, state, and university employment regulations.
    • Assists in the implementation of HR policies and procedures.
    • Participates in audits related to HR documentation and processes.

 

Other Functions

  • Assists in projects that support the mission of the Human Resources office.
  • Performs other duties as assigned.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Associate's Degree and three (3) years of experience in Human Resources. A Bachelor’s Degree may be substituted for two (2) years of the required experience. 
  • Excellent interpersonal and communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to work both independently and as part of a team with diverse backgrounds.
  • Ability to exercise sound judgement.
  • Demonstrated strong organizational and time management skills.
  • Previous experience working with confidential information.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree in Human Resources, Business Administration, or a related field.
  • At least two (2) years of experience in HR in higher education or public sector HR operations.
  • Knowledge of HR practices, employment law, and university systems.
  • Proficiency in HRIS (Human Resource Information Systems).

 

Physical Demands/Working Conditions

Typical office environment.

 

Work Schedule

Standard business hours, with occasional extended hours during peak periods or when required to meet deadlines.

This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position is non-unit, it is subject to the terms and conditions of the University of Massachusetts Board of Trustees Non-Unit (Professional/or Classified) Employee Personnel Policy.

 

Salary Information

Salary Level 25.
