Job Summary 

The Clerk IV works as part of the Biology Undergraduate Advising team under the direction of the Director of Advising and  performs administrative functions essential to the operation of the Undergraduate Advising Office, manages Biology website content and other Departmental communications, and serves as backup for selected Biology business office and human relations office functions. 

  

Essential Functions 

 Advising Office Clerical Support 

  • Staffs the Undergraduate Advising Office on a daily basis.  Provides administrative support including but not limited to, scheduling advising appointments, enrolling students in courses and the major, maintaining student records, and office purchasing. 
  • Provides information to students, faculty, and the public about course selection, academic planning, and compliance with University academic policies and procedure. 
  • Provides clerical support for Biology undergraduate summer programs. 
  • Provides clerical support for faculty committees whose work focuses on the undergraduate experience. 

 Departmental Communications and Events 

  • Updates content on the Biology website and social media.  
  • Ensures all website items and links are current and functional (including updating staff and student directories).  
  • Responsible for soliciting information from Biology personnel and students, for use to write news and announcement items.  
  • Distributes materials as needed, prepare and update hallway postings.
  • Assists with planning, publicizing, implementing, and attending department events. 

 Backup Administrative Support of the Biology Main office. 

  • Provides backup to the Biology HR office as needed to manage student payroll. If needed, manages work/study and non-work/study payroll, processes appointments, processes weekly reporting of hours and performs other related duties. 
  • Provides backup office coverage and backup clerical support to the Biology Business Office. 

  

Other Functions 

  • Works collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness.  
  • Works in partnership with colleagues within the College of Natural Sciences community and across the campus to support the Dean’s strategic priorities. 
  • Performs other duties as assigned in support of the mission and goals of the Biology Department and College of Natural Sciences. 

Supervision 

  • Directs, monitors, and evaluates activities of student employees in the Biology Office. 

  

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure) 

  • High School diploma and two (2) years’ relevant experience, or Associate’s Degree and one (1) year of relevant work experience, or equivalent. 
  • Proficiency with e-mail, word processing, and spreadsheet programs with excellent attention to detail. 
  • Excellent oral and written communication skills, including ability to compose short memos and letters, and knowledge of grammar, punctuation and spelling. 
  • Ability to maintain confidentiality of records, documents and communications. 

  

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure) 

  • Knowledge of University personnel policies and procedures, including rules and software related to human resources, work study, non-work study, and non-student hourly appointments. 
  • Knowledge of University systems, such as SPIRE, Student Success Collaborative, and UMetrx. 
  • Experience with Drupal web software. 

  

Physical Demands/Working Conditions 

Typical office environment. 

  

Work Schedule 

Monday – Friday, 9:00am – 5:00pm.

This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the University Staff Association, it is subject to the terms and conditions of the University Staff Association collective bargaining agreement, therefore.

 

Salary Information 

USA/MTA Grade 13
