Job Summary
Assist in the day-to-day operations of Member Services and the Member Services Desk in the Recreation and Wellbeing (RecWell) Center. Oversee all point of sale (POS) operations, including cash and credit card sales, of all memberships and programming available to Recreation and Wellbeing members. Process and monitor daily revenue transactions, prepare daily deposits and credit card journal entries, and assist the Assistant Director for Marketing and Member Services with the reconciliation of RecWell revenue accounts. Oversee Member Services student staff, RecWell student payroll functions, including hiring, termination, and time reporting of approximately 450 -500 student employees.
Essential Functions
- Under the direct supervision of the Assistant Director for Marketing and Member Services, assist in the day-to-day operations of the Member Services Office and the Member Services Desk in the RecWell Center.
- Oversee the Member Services Desk at the RecWell Center, field phone inquiries, monitor student workers and assist walk-in patrons.
- Provide information, answer questions, and compose routine correspondence with various internal and external constituencies related to RecWell programs.
- Functionally supervises student employees.
- Oversee the Member Services Staff with all point of sale (POS) operations including cash and credit card sales of all memberships and programming available to RecWell Members.
- Maintain a comprehensive knowledge of RecWell Programming, and membership protocol allowing for the efficient selling of all memberships to eligible patrons and providing direct explanation of all policies and/or procedures to new and renewal members.
- Process and monitor daily revenue transactions and prepare daily deposits and credit card journal entries.
- Process, monitor, and reconcile all RecWell deposits including all Credit Card Transactions and Journal Entries forms necessary for point of sale (POS) reconciliations.
- Compose and submit all Variance Reports and/or memoranda.
- Oversee functions pertaining to student employment and payroll.
- Hire, train, schedule, oversee and evaluate the Member Services Desk student staff, as well as process on-line hiring of student employees for each specific area of RecWell.
- Oversee the Member Services Desk during normal business hours including point incentive system for student employees (graduate and undergraduate).
- Collect, review, and submit required hiring forms to Office of Human Resources (OHR) with the use of the Rapid Hire System and prepare any required Personnel Action Forms.
- Verify all work hours to ensure accurate submission through the HR Direct System.
- Generate bi-weekly Time & Labor Detail Report and proof entries for accuracy.
- Prepare late forms and submit pay rate and encumbrance change memoranda.
- Implement, monitor and keep complete record of the RecWell System for starting pay rates, longevity increases as well as payroll expenses for each specific area of RecWell.
- Answer questions regarding paycheck discrepancies and resolve problems in a timely manner.
- Communicates with and utilizes SACL HR Matrix systems related to Graduate Student hires and/or other Personnel inquiries.
- Assist in the payment of Club Sport coaches’ salaries.
- Assist the Assistant Director for Marketing and Member Services with the reconciliation of RecWell revenue accounts.
- Prepare and submit information on lost recreation equipment, clothing, and any other applicable charges to the Bursar's office for billing or bill within the CSI Software Member Management System.
- Maintain the filing system and records for all business transactions and related documents.
- Work in collaboration with the Office Manager to maintain inventory, monitor, and order all office supplies for the RecWell Department.
- Serve as administrative support to RecWell search committees.
- Assist in the development, revisions, and implementation of the policies and procedures of the Member Services and Marketing Office.
- Attend conventions, conferences, meetings, and training sessions as required.
- Responsible for adhering to all university rules and regulations.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- High School Diploma.
- Minimum of two (2) years experience in a related field.
- Supervisory experience.
- Knowledge of web interface and various computer software programs such as Excel is required.
- Ability to work in a fast-paced environment; ability to multi-task and handle last-minute problems and changes.
- Understanding and applying accounting and bookkeeping principles and procedures, along with sound judgment in their implementation.
- Ability to develop effective work procedures.
- Extensive interpersonal, conceptual and organizational skills.
- Excellent written and oral communication skills.
- Ability to work effectively with diverse populations and to collaborate effectively as a member of a goal-oriented team.
Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- Proficiency in Fusion Software and Time Clock Plus.
- Working knowledge of Student Employment system, rules and regulations governing Student Employment and Work Study.
- Working knowledge of University accounting policies and procedures.
- Knowledge of department rules and regulations, policies, procedures and functions and guidelines governing the Department of RecWell and the Athletic Department
- American Red Cross course Certification.

Work Schedule
Monday - Friday, 8:30am – 5:00pm; some nights and weekends.
Salary Information
USA/MTA Grade 13.
