GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:

The Accountant III assists in the management of grant accounting activities and will also perform accounting activities such as processing invoicing and cash collections for sponsored projects; recording billed amounts in Peoplesoft; preparing bank deposits and recording cash deposits; reconciling accounts receivable and preparing reposts.

DIRECT REPORTING STAFF: 

Grant Accountants; may supervise clerical/administrative staff; may supervise student workers.

DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES:

*Provide interpretation support on the grant accounting terms and conditions on specific projects
*Monitor monthly Accounts Receivable and Unbilled Accounts Receivable Aging reports. Ensure timely billings and cash collections including prepaid and other scheduled invoices, follows up with past due invoices. Prepares monthly report of collection status and recommends when additional action is required on past due invoices.
* Runs Revenue Recognition/Utilization process. Review unbilled aging to ensure all prepaid, fixed and scheduled invoice projects recognize revenue appropriately. Resolve issues with other ORA staff as needed.
* Resolve Accounts Receivable, contract, billing and collections data entry issues, work with Peoplesoft/Financial Coordinator, fiscal services and central grant IT staff as needed
* Maintain complete and current understanding of Federal, State and University policies, procedures and regulations. Ensure policies and procedures are adhered to, recommends improvements, implements new or revised policies and procedures
* Ensure accuracy of contract and billing information for each award in PeopleSoft, enter data as needed
* Prepare and processes invoices, financial reports including quarterly and final reports. Review PeopleSoft reports and invoices for unallowable expenditures work with PI and grant managers to ensure unallowed costs are transferred, ensure accuracy of F&A expenditures prepare journal entries to correct as needed. Prepare and process cash deposits.
* Oversee monitoring of cost share, prepare monthly reports of cost share for reporting to sponsor
* Monitor account closeout process, ensure accounts are closed in PeopleSoft on a timely basis, work with grant manager and PI to resolve any accounting discrepancies
* Participate in year end close and all audits as needed
* Maintain knowledge of PeopleSoft system, participate as needed on the PeopleSoft GM Committee, may attend meetings and trainings in Shrewsbury and other off campus locations. Participate in implementations and upgrades of PeopleSoft modules as related to grants. Run queries and reports in PeopleSoft, assist in training ORA and others in the use of accounts receivable, billing, contract and other related PS modules as needed. Assists in training ORA staff and departmental staff and faculty as needed in related areas.
* Review department accounting procedures and make recommendations for improvements as necessary.
* Perform various departmental accounting functions including but not limited to processing invoices, entering information into Peoplesoft system, preparing reports, collecting information from multiple sources, verifying Facilities and Administrative expenditures, participating in audits, etc.
* Perform other related duties as assigned.

QUALIFICATIONS REQUIRED AT HIRE:

• Knowledge of the principles and practices of accounting including terminology.
• Knowledge of the methods of general report writing.
• Ability to analyze and determine the applicability of accounting data, to draw conclusions and to make appropriate recommendations.
• Ability to read and interpret documents such as financial reports, accounts and ledgers.
• Ability to understand, apply and explain the laws, rules, regulations, policies, etc. governing assigned unit activities.

• Knowledge of the terminology and standard abbreviations used in tax accounting.
• Knowledge of the terminology and standard abbreviations used in governmental accounting.
• Knowledge of federal grants and contracts.

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) three years of full-time, or equivalent part-time, professional experience in accounting or auditing, of which at least (B) one year must have been in a supervisory, administrative or managerial capacity, or (C) any equivalent combination of the required experience and substitutions as per the Massachusetts Classification Specifications for the Accountant Series.
