General Summary of Position:
Reporting to the Assistant Director, Core Research Facilities, the CRF Assistant will help to support the CRF Business Office and is responsible for various administrative tasks associated with managing the daily operations of the CRF core labs.
This is a temporary, non-benefitted position working 3, 4-hr workdays for 12 hours/week.
Schedule will be either Mon/Tues/Wed or Tues/Wed/Thurs, either 9AM-1PM or 10AM-2PM, to be determined.
Hours may increase to 15 per week after July 1, 2024, depending on workload.
Essential Job Duties:
Financial Duties:
- Aging Upkeep – Accounts receivable
- Process PayPal transactions
- Process Check and ACH deposits
- Process Bankcard reconciliations for Executive and Assistant Directors
MA Voucher Program:
- Process voucher award letters
- Provide other program support as directed by Asst Director
Customer Service:
- Fielding new account requests, sending CRF Agreement, and activating new accounts
- Activating new users
- Get updated CRF Agreement signature once five-year period has expired
Marketing/Events:
- Assist in planning and marketing CRF related events
- Setting up tours for incoming faculty, interested users, special events, etc.
- Managing logistics for CRF related events (room reservations, parking, AV needs, catering needs, event set-up)
- Help to send content to StitchDX for quarterly newsletter and LinkedIn
HR Support:
- Provide support for Page Up applicant tracking system for HR issues involving, but not limited to:
- Applicant resume downloading and distribution
- Search committee tasks and administration when needed
- Scheduling and communication between applicants and CRF staff/team
Other Job Duties:
- Assist, when needed, to enter in purchase orders for CRF related purchases
- Assist, when needed, to solve issues related to purchase orders, invoices, payroll, etc.
- Assist, when needed, to enter contracts into BuyWays
- Ordering of office supplies, water, team lunches, other catering services, etc.
- Other administrative tasks and duties as needed
Minimum Qualifications (Required):
- HS diploma or GED/equivalent required, Associates degree in a business, accounting, or management field is desirable
- 2-3 years’ experience in an office setting, performing administrative tasks
- Some experience w, receivables and account reconciliation preferred
- Solid customer service skills
- Strong written and verbal communication
- A self-starter who enjoys collaboration and solving problems
- Comfortable working with a diverse population
