Job Summary

The Assistant Director of Conference and Event Services is responsible for the conference programs.  This position oversees the management of University Conference Services (UCS) and Summer Conference Housing (SCH) and works closely with the University Housing Services department. 

 

Essential Functions

  • Directs conference activities for on-campus and off-campus clients. Ensures that contracted events and services are supplied in a timely and efficient manner. Prepares accurate financial statements of conference income and expenses at the conclusion of each program. Responsible for accuracy of invoicing and billing for all conferences handled by the Conference Services office. Provides guidance and support to all Conference Coordinators/Registrars and Events staff. 
  • Supports UCS sales personnel by giving tours and information to prospective conference clients, attends conferences and shows as needed throughout the year. 
  • Works cooperatively in the sales of conference programs to faculty, staff, and private sector clients. 
  • Sets goals to attract and recruit off campus business to increase revenue generation. 
  • Upholds commitment to customer service. 
  • Serves as liaison between Conference Services and other on-campus departments. Negotiates for use of facilities and services and monitors the quality of services delivered to conference clients.  
  • Maintains constant and concise communication with the Director of Residential Life and the Residential Life Operations Managers throughout the year. Recruits, trains, and supervises summer conference housing staff to operate a summer residence hall program with an emphasis on customer service and employee safety. Prepares income projections and operating budgets for SCH.  Manages all resources to generate income and control expenses. Designs policies and procedures to ensure the efficient operation of SCH. Works with UCS Registrar to support the Registration Program and then implement the utilization of the Registration Program for generating housing lists for Summer Groups. 
  • Prepares, implements, and enforces policies pertaining to employees, guests, and visitors within rooms and public areas under the jurisdiction of SCH while also adhering to University Housing policies. 
  • Develops and proposes plans to enhance the content and future of existing programs. 
  • Assists the Director of Conference Services to ensure compliance of University and departmental policies, procedures, and operational guidelines.

  • In the absence of the Director of Conference Services, the Assistant Director acts as the Director and serves as the primary liaison to identify the needs of the department and to work with staff on issues that may arise. 

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure) 

  • Bachelor’s Degree in appropriately related field and a minimum of 10 years’ experience within the hospitality industry and/or residence hall management.  Bachelor’s Degree in other areas will be considered with a minimum of 12 years’ experience within the hospitality industry and/or residence hall management. 
  • Supervisory experience. 
  • Strong budget experience. 
  • Possesses excellent organizational, analytical, and interpersonal skills and the ability to exercise sound judgement and manage competing priorities while exhibiting professionalism and a commitment to teamwork. 
  • Proficiency with Windows-based software. 
  • Strong written and verbal skills. 

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure) 

Experience in an academic or non-profit business. 

 

Physical Demands/Working Conditions 

Typical office environment. 

 

Additional Details 

Reports to the Director of Conference Services.  Functions independently within a broad scope of Conference Services policies and goals, and refers problems to Director of Conference Services when necessary. 

 

Work Schedule 

Schedule will vary based on department's needs, and will include some nights, weekends and holidays, 37.5 hours per week.
