Job Summary

Manages clinical and administrative operations for Hampshire College Health Services. Consults with staff and clinical providers at University Health Services (UHS) and Hampshire College administrators regarding health records, business management, accreditation, phlebotomy, specialist referrals, and all aspects of clinical operations.

 

Essential Functions

  • Manages the effective operations of the medical office. Responsible for reception duties including, greeting patients and/or other visitors, registering demographic and insurance patient information, scheduling, and processing of payments. Refers and directs incoming phone inquiries, email, and patient portal messages.
  • Creates and implements operational procedures to maintain medical and mental health records in compliance with legal requirements and accreditation agency standards.
  • Manages the office operations of the student health and counseling center responding to students that require medical and mental healthcare by scheduling patients/clients, processing medical claims, and making specialist referral calls.
  • Coaches and provides guidance to students on health insurance coverage and navigating registration, assessment, and routine troubleshooting of student insurance coverage. 
  • Manages incoming student records, immunization database management, communication with students and families about immunization laws and details of immunization waivers; ensures compliance with the state of Massachusetts.
  • Manages the processing of prescription medication payments, insurance co-payments, and fee-for-service payments. Consults with pharmacists and makes changes to procedures, as needed. Disperses medication to students.
  • Manages third party medical insurance and billing procedures in liaison with UMass UHS and the Hampshire Business Offices.
  • Analyzes, monitors, and creates reports on quality/continuous improvement activities for administrative services.
  • Manages specialist referrals and prior authorization requests.

 

Other Functions

  • Provides phlebotomy and lab tech services for medical providers as required.
  • Performs other related duties, as assigned.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • High school diploma with a minimum of five (5) years' of relevant experience.
  • Phlebotomy, Medical Assistant, or Medical Technician certification. 
  • Demonstrated ability to respond to and communicate with persons in emotional or medical crisis.
  • Strong interpersonal skills with the ability to work both independently and as part of an effective team with a highly cooperative and collaborative work style.
  • Contributes to the creation of a respectful, inclusive environment that is supportive of diversity.
  • Ability to explain medical and mental health insurance, billing, release of information, health care proxy, and related college policies to students, families, and college staff.
  • Proficiency in medical terminology, electronic medical records, medical office management and procedures, health insurance billing procedures, medical and behavioral health records management and Health Insurance and Portability Accountability Act (HIPAA) compliance.
  • Strong organizational and computer skills with attention to detail with the ability to complete assignments quickly while balancing the demands of concurrent and potentially competing projects.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

Associate's degree in health care administration or related field.

 

Physical Demands/Working Conditions

Typical office environment.

 

Work Schedule

  • Monday - Friday, 8:30am to 5:00pm, with some flexibility.
  • 37.5 hours per week, 52 weeks per year.

 

Salary Information

USA/MTA Non-Exempt Grade 13.
