General Summary of Position:

The Assistant Director of Athletic Business Operations is a key member of the Athletic Business staff and performs a wide variety of duties associated with fiscal management within the Department of Athletics; also assists with athletic team travel, purchasing and expenses, game-day officials, etc.

Essential Job Duties:

1. Assist with the oversight of financial resources for the Athletic Department.

  • Perform required accounting duties.
  • Prepare and process appropriate financial documentation in accordance with University policy and procedures.
  • Provide support to Associate AD Business Ops and Director of Business Operations with accounting, processing and reporting of special events and camps/clinics, Official Visits
  • Prepare, review, analyze and maintain departmental metrics and reporting as requested by the Associate AD for Business Operations.
  • Responsible for creating and processing requisitions, purchase orders, etc. within the University’s guidelines.

2. Assist Business Office staff with composition and completion of various schedules, reports, and supporting documentation for the annual year-end closing, audit, and NCAA agreed upon procedures, as needed.

3. Process and monitor voucher payments for game-day event staff, referees, umpires, etc. Work with key internal offices to coordinate details, paperwork, etc.

4. Maintain Vendor File for athletics and serve as a contact between external vendors and the university’s Accounts Payable office on vendor related inquiries

5. Review, process and assist with athletic staff expense reports and reimbursement requests following university and NCAA guidelines.

6. Monitor Team Travel Meal expenditures and revenues, responsible for reconciliation of Team Meals in accordance with University and NCAA guidelines.

  • Occasional evenings and weekends work.

Minimum Qualifications (Required):

• Bachelor’s degree with some related experience
• Knowledge of budget management, financial and managerial accounting principles and financial analysis
• Ability to relate effectively with departmental and university staff, with vendors, and with the general public
• Proficiency with Microsoft Office applications and reporting tools, spreadsheets to maximize business efficiencies
• Must have excellent oral, written and interpersonal communication skills
• Ability to manage and prioritize multiple complex projects simultaneously in a fast paced environment

Additional Considerations:

  • Experience working in a college athletic department
  • Working knowledge of PeopleSoft and Concur, preferred
  • Familiarity with NCAA Financial Classifications.
  • Proven ability to determine and accomplish short and long term goals.
  • Demonstrated ability to work effectively with college student-athletes.
  • Familiarity with knowledge and application of NCAA rules and regulations.
